Terms and Conditions
Stinger Suit Requirement
Stinger suits must be worn at all times to protect against marine stingers.
Risk Acknowledgment
Adventure travel inherently carries risks. While we strive to ensure the safety of our guests, we cannot be held liable for any damage, injury, or loss resulting from actions beyond our control.
Accessability
If you are unable to do any of the following you must notify us prior to booking:
- Speak and understand English for safety purposes and the ability to follow instructions from the crew
- The ability to climb a ladder
- You must advise if there are any other impeding issues that could impact your safety or the safety of others
Travel Insurance
We strongly recommend that you secure travel insurance before departure. If you haven’t already arranged coverage, you may purchase insurance through the WSA website during your online check-in process.
Weather Conditions
Adverse weather, particularly during the wet season (typically December to May), may affect your travel plans due to flooding, road closures, or flight cancellations.
Changes to Itinerary and Vessels
We reserve the right to modify destinations and activities at the captain’s discretion in response to prevailing weather or tidal conditions. We may also substitute vessels at any time for any reason. Please note that all cruises are subject to weather conditions.
Photography and Promotional Use
By traveling with Apollo, you acknowledge that you may be photographed or recorded during the charter. Your image may be used in promotional materials, including brochures, posters, emails, websites, Facebook, and other media.
Cancellation and Transfer Policy
Cancellations or transfers are not permitted within 14 days of departure. Any cancellations made less than 14 days prior to departure will result in forfeiture of the full price. If you are unable to travel, please contact WSA to discuss the possibility of transferring your ticket to another person or finding an alternative arrangement before departure.
Liability and Safety
We make every reasonable effort to protect our clients, but we cannot be held responsible for any personal injury or loss caused by factors beyond our control.
Cancellation Policy for Direct Bookings
For direct bookings with Apollo Adventure Sailing:
- Any cancellation made within the designated cancellation period will result in the forfeiture of the full ticket price.
- Cancellations made outside these time frames will be fully refunded, less any applicable credit card or administrative fees.
Cancellation Periods:
- Overnight Boats: 14 days
- Day Trips: 24 hours
- Private Charters: 21 days
If you booked through a travel agent, please note that you will be subject to their specific terms, which may offer longer cancellation periods.
If you have been approved to change your travel date while within the cancellation period, a transfer fee of $50 per person may apply. Additionally, if your new date falls within a different pricing period (for example, during high season), you may be charged any applicable rate increases.
General Terms
Our adventure sailing tours proceed as scheduled, regardless of rain or strong winds. The Whitsundays are considered partially smooth waters, and tours will only be canceled if:
The safety of our guests and crew is our highest priority. Consequently, management and crew reserve the right to alter itineraries or cancel a trip with little or no notice to ensure safety and comfort. We also reserve the right to substitute vessels at any time and for any reason.
Clients should understand that adventure travel carries inherent risks. While we strive to safeguard our guests, we cannot be held liable for any damage, injury, or loss resulting from actions beyond our control. Passengers who enter the water do so at their own risk, and our vessel operators are not responsible for any injuries, illnesses, or other consequences—including jellyfish stings. To help minimize these risks, a full-length protective “Stinger Suit” will be provided for use while swimming and snorkeling.
- The Regional Harbour Master closes the area, or
- Our management or the vessel’s skipper deems the weather unsafe.
Travel Insurance
We are unable to refund the cost of your trip if adverse weather conditions or flooding prevent you from traveling on time. Although the weather in the Whitsundays is often beautiful, flooding on roads (both north and south) and flight cancellations can occur. Therefore, we strongly recommend that all customers obtain travel insurance that covers illness, injury, and loss or damage to personal belongings, especially during the wet season.
Change of Date Policy
- For changes requested more than 14 days before departure, a $50 transfer fee will apply.
- Requests to change the date within 14 days of your tour are subject to the discretion of Whitsunday Sailing Adventures and Apollo Adventure Sailing and, if approved, will also incur a $50 transfer fee.

In the Event We Cancel the Charter
Direct Bookings:
- If we must cancel a tour for safety reasons, you will receive a full refund of your ticket price (excluding booking fees).
Third Party Bookings:
- If you are unable to switch to an open-dated ticket or transfer to another date, please contact your travel agent directly, as their cancellation terms will apply.
